Sending infrastructure

Email domain architecture and ownership

Plan which email streams share infrastructure, ownership and operational risk.

Practical guidance: the planning recommendations on this page are distinct from mailbox-provider requirements.

Before choosing domain names, inventory what your product sends. Password resets, billing notices, onboarding messages and newsletters have different triggers, urgency and audience expectations. Your architecture should make those differences visible.

Map the streams first

Inventory the traffic your organization actually sends. Record the business purpose, sending platform, From domain, reply destination and operational owner of each stream.

Use message headers and application configuration to establish the identities in use. Do not infer a sending domain from a website address or an internal label for a campaign.

Document each identity

For every platform, record its visible From domain, envelope domain, DKIM signing domain, reply destination and owner. Include customer support software and application services, not just the main marketing ESP. Verify a real message from each route.

Understand what separation can do

Distinct streams help teams attribute failures, apply different eligibility rules and make focused changes. A separate subdomain does not guarantee isolated reputation or inbox placement. Providers can evaluate multiple related signals, and shared platforms or IPs can still introduce dependencies.

Do not create additional domains simply to continue an unwanted sending practice. First correct the audience or operational problem that caused the issue.

Plan changes around dependencies

Before moving a stream, list the DNS owner, application configuration, suppression transfer, reply path and rollback decision. Test a real workflow from trigger to received message. A successful test campaign does not establish that password resets or billing events use the same route.

Keep an architecture record

Maintain a small inventory with stream, platform, identities, business owner and last verification date. Update it when a new integration starts sending. This is the reference that lets a future investigator identify the right system without guessing.
