Proofpoint delivery remediation

Investigate an IP listing or recipient-side rejection using official support routes.

Identify the product and decision

Proofpoint products and customer policies do not all use the same remediation path. Preserve the full response, connecting IP, UTC time and receiving hostname. An accepted message placed in quarantine is a different case from an IP rejected during SMTP.

Check the official IP resource

Proofpoint directs senders to its IP reputation check for IP listing and removal requests. Use the actual connecting address from the failed delivery. For a shared sending pool, involve the ESP that controls the address and can investigate other traffic.

Prepare remediation evidence

  1. Confirm the named block or rejection from the original response. Do not infer an IP listing from a generic delivery failure.
  2. Investigate unauthorized traffic, recipient acquisition and forward-confirmed reverse DNS as relevant to the response.
  3. Correct the confirmed cause before requesting removal. Describe the observed fault and repair without claiming a cause you have not established.
  4. If the IP is not listed, ask the receiving organization to inspect its policy and contact its Proofpoint support channel when appropriate.

Handle a suspected false positive

SendPoint recommendation: provide the recipient administrator with the original message, timestamp and business context through an approved channel. Ask which control acted and whether a vendor submission is needed. Keep the investigation scoped to the affected message or stream.
